Time was when “virtual” meant “almost real…but not quite,” as in, “I am virtually helpless.” Nowadays “virtual” has a different meaning. And it’s real as can be. (And when it comes to office assistance, nobody needs to be helpless anymore.)

Let’s first take a look at the new meaning of the word “virtual.” A “virtual” office is one in which the various employees work from home, not in a central office location. But they’re real employees. They’re just not really physically present.

Looking back in time once again, time was when people judged a company by the size of its office facility and staff. If you entered a reception area that was large and glam-looking, and from there you were led through an area where many people were at work (whether in cubicles, offices, or one central room), you were favorably impressed with the size of the company and its corporate “health.” They’re a booming enterprise, you’d think.

You can’t judge that way anymore. And everyone today knows it.

No longer is one person working on his or her own assumed to be a one-person office. No longer is someone working from home assumed to be a start-up whose business isn’t big enough to require — or afford — an office yet. “Working in your pajamas” is a contemporary perq and nothing to be ashamed of.

And how is it all accomplished? With a virtual staff.

With virtual staffers, you can work from the comfort of your home (or, if you prefer, a small office with a modest rent), forget providing for office space, desks, computers, and other appurtenances for a large staff, and the insurance that goes with all that, and still know that you’ve got the best of both worlds. You’ve got the talented staff you require to carry out your office functions, yet the low budget and flexibility of not having to hire a warm body to perform each of your necessary office functions and provide the necessities for that person.

You also don’t have the payroll hassles that accompany traditional hires. One flat fee, of a non-salaried nature, covers all your needs — possibly even for your entire staff, if you hire not just individual virtual employees but workers at a virtual office staffing service.

The staffers are “virtual,” but the savings — both in money and in aggravation — are very real.

Running a business might be very hectic and one thing you should at least know when running a business is that you simply can’t do it all by yourself, you need people and people that can guarantee income at a lesser charge. The people you work with are often the ones who make or break your company, so you need to be careful while being realistic in the selection of your staff members.

When you are the boss, or are responsible for running the company, the possibilities are, you are most often too busy to concentrate on the small jobs like managing your email account and replying them, this brings up the need for an assistant. History knows assistants as those who operate just next to you, using your equipment, machines and in some cases, they even expect transport money from you the employer. Well, thanks to technology all this has just drastically changed, all for the good of the assistant and you the employer. Today you can simply hire a virtual assistant.

A virtual assistant is simply that old assistant that we were used to yesterday only that you communicate online this time around, in other words you don’t need to meet your virtual assistant, you simply give them work online and in return they send them back to you through the mail. They are qualified to do many different jobs, all from sorting your mail to marketing your company through the net. The advantage will be that those guys mostly work online, so they know which website to get you to so your company can flourish

You can actually hire a virtual assistant with whichever business that you are running, no matter how small, as long as you need the service. The best part is you only pay for what they work for, so when they is no work done for today, it simply means you don’t pay for today. When you hire a virtual assistant, you know you don’t have to worry about buying extra office equipment, they work from their own offices or from home, and moreover you can even get work done even on weekends and holidays.

Finding a virtual assistant can be a tricky business as you will be dealing with someone you don’t know and you won’t even meet. You need to examine the virtual assistant, making sure you are comfortable with his or her knowledge of the online business and typing speed.

Check the grammar on his or her writing, am sure no one wants to hire someone who is illiterate. Consider the background and most importantly the working hours. How much they charge is something to consider but if it’s worth it then I will say go for it, after all paying for a job well done isn’t much of a stress. So, why don’t you go modern while saving space and money? Just hire a virtual assistant today!

You must understand that virtual assistant can mean a variety of things. You must understand some key facts about virtual assistants before engaging into hiring a virtual assistant for your business.

Virtual assistants work for themselves. Virtual assistants will communicate with you online or via the telephone. This type of relationship can have its benefits as well as downfalls.

These types of assistants are universals. They will more than likely not live local to you. You must familiarize yourself with the customs of people from other countries. You must also understand that virtual assistants strictly provide administrative help and are not automatically consulting experts.

Upon hiring a virtual assistant, you must provide the virtual assistant with their job description. When you are dealing with a virtual assistant firm, you could possibly hire assistants who do specialize in other fields as compared to strictly administrative.

You want your virtual assistant to send you weekly reports of tasks which they have accomplished for your small business. Request that they break down the chart to hours and what specific tasks they have completed.

Try assigning small tasks in the beginning of the contract with your assistant. As the virtual assistant get’s the swing of things, you can begin assigning more tasks. Do not be afraid to assign your assistant different tasks. This will more than likely be appreciated by the virtual assistant due to breaking up the monotony of every day business chores.

Always give detailed instructions. Do not merely assume that your assistant will be able to interpret your instructions. Do not assume they can fill in every small hole of your instructions.

When you assign your assistant a task, verify that they understand the tasks which have been given to them. Tell them exactly what you want to accomplish with the task which they were assigned. You want to ask them how long it will take to accomplish the task as well as ask them if they have any questions and be prepared for questions.

A virtual assistant can enhance your business in a variety of ways. You must understand that your virtual assistant is only as good as you are therefore, ensuring that you are on top of your game before hiring a virtual assistant.

Contracts are necessary since it protects both the interest of the client and the virtual assistant. The contract must be well designed wherein the scope of the projects are clearly defined and specified in areas such as the project’s scope, cost and time estimates and terms of services. This will help prevent any misunderstandings in the future.

When it comes to the virtual assistant business there are several contracts that you can choose from depending on the types of services being offered. Some virtual assistants would prefer to work short term while some would prefer long term contracts. It all depends on the client’s needs. For instance, if the client is looking for a virtual assistant to be in charge of web design and maintenance then a long term contract would be needed for that kind of task. Administrative services can be paid by the hour.

Here are the three most common contracts that virtual assistants use:

The first is hourly contracts. These are for clients who would need occasional work that they prefer to outsource or services that you need to outsource once because you are short of time or resources. Hourly contracts should clearly state what the hourly rate is, billing increments and the minimum time requirements.

The second contract is the per project contracts. This is used by virtual assistants who are working with clients on a specific project. The contract must clearly state the scope of the work, time estimation to finish the project, estimated costs and the pay terms.

The third is retainer contracts. This is used by virtual assistants who want to establish long term relationships with their clients. The payment is usually done monthly plus there will be a retainer agreement. In this contract, there should be a clear definition of the type of services that should be provided and the number of expected working hours during the duration of the contract. Retainer agreements are one way for virtual assistants to ensure that they have a predictable stream of income. This will also be beneficial to the client since they do not have to compete with other clients and that the virtual assistant will not be too busy to work on the project when it is needed.

With virtual assistant contracts, both virtual assistant and client are happy and secured in case conflicts arise.

If you feel that you have too much work load and that you do not have enough time to get things done then hiring a virtual assistant may be the best solution for that.

There are a lot of businesses and companies that get a lot of help from services that are offered by virtual assistants. In fact a virtual assistant can be pretty useful whether you have a traditional business or if it is online.

Virtual assistants can do a wide range of tasks – mostly administrative. You can assign them to do your marketing, web site managing, power point making, book keeping, writing and researching tasks. Generally, a virtual assistant is skilled when it comes to using the computer and can do a huge range of skills. They’re like your own efficient secretary – only you do not get to see them personally.

With virtual assistants, you can actually increase your manpower without having to pay a full time employee. Aside from that you do not have to worry about any employee benefits and taxes and you do not need to give them office space. Virtual assistants work at their own office and use their own equipments so basically you do not have to provide for them. Even large businesses can benefit from using virtual assistants by doing time consuming tasks such as word processing, scheduling and taking phone calls. This can actually save a lot of money for any business.

Comparing a virtual assistant to a full time employee, you may find that a virtual assistant is less expensive to maintain compared to having someone full time. They are paid by the number of hours they work on the task given or they are paid per job done. You do not have to pay for insurance or holiday pay.

Virtual assistants work independently or as a member of an organization that helps match them with clients, depending on the need of the client and the skills of the virtual assistant.

Virtual assistants are the most reliable manpower you can have and they will surely give you the services that you need and want at a reasonable price.
